What the AI does here, and what it is not allowed to do.

Four agents, each with its own job

AI Reviewer Agent

Reads each new guest report. On One-step, the default, it sends the ones it is very sure are genuine straight to the people who handle that issue type at that location, folds a report into the open job when it is plainly the same fault, and never rejects anything. On Two-step it also takes a closer look at what is left, releasing what is real and binning clear junk with its reason on the record. Every emergency waits for a person.

AI Scheduling Agent

On the scheduler, its button writes up the week and draws the changes it suggests on the grid; nothing moves until somebody moves it.

AI Staffing Agent (beta)

Turns what a manager says — "Sam can't do Tuesdays after six" — into the availability, time off and shift patterns the rota is drafted from. It writes nothing until the manager has read every row and pressed the button, and names anything CineScope has nowhere to store.

AI Assistant

A chat on every staff page that answers from your account's own data, and only what the person asking is allowed to see. It answers how-to questions from your guides, and can draft a note on a case, a new case or a closure, which waits as a card until the person presses Confirm.

Reading, for a person to check

Invoice reading fills in the supplier, number, date and amount for a person to confirm. Certificate reading fills in an inspection's visit date, certificate number, the date it runs to and what the inspector asked for, but never chooses the result. Both are off until switched on, and nothing is saved until a person presses the button.

The photo check looks at each picture a guest attaches before staff see it: is it fit to show a colleague, and is it of the place the report is about? The guest form only offers a photo when it can be checked, so no guest's picture reaches staff unchecked.

How AI tokens are spent

CineScope includes 500 AI tokens per active location per month. One token is one piece of AI work somebody chose to have done — a question, a review of the Needs review queue, a schedule write-up, a document read, a photo check. Translating a guest report into English never counts, One-step triage costs nothing, and questions asked through the read-only AI connector are paid for on the asker's own AI plan.

When the month's tokens are used, CineScope says so and the AI work waits rather than anything breaking: reports still reach the queue, and the forms still work without being filled in for you.

AI agent questions

Is the AI trained on our data?

No. The AI Assistant answers from your own account's data, and only what the person asking is allowed to see — it is not trained on it. It reads through a fixed set of read-only tools that apply that person's permissions before anything is read. What the AI reads is processed by an external model provider, Anthropic. The two exceptions — the first read of new guest reports, and choosing which tools a question needs — are done by a small model from TypeSafe AI, run on Cloudflare.

Does the AI ever reject a guest report on its own?

Only on Two-step triage, which the account admin has to choose. There the AI Reviewer Agent bins clear junk with its reason on the record, and a rejected report can be reopened. On One-step, the default, it never rejects anything. Every emergency waits for a person, and every decision is in the case history under the agent's name.

Does the AI decide how urgent a report is?

No. A report's impact — low, medium, high or emergency — comes with the report, and an admin can correct it; three reports of the same fault raise a job to high impact. The AI never sets or scores impact.

What counts as an AI token?

One piece of AI work somebody chose to have done: a question to the AI Assistant, a run of the AI Reviewer Agent, a write-up from the AI Scheduling Agent, a request to the AI Staffing Agent, an invoice, certificate or guide PDF read, or a guest photo checked. Translations never count, One-step triage costs nothing, and questions asked through the read-only AI connector are paid for on the asker's own AI plan. The allowance is 500 AI tokens per active location per month.

What happens when the tokens run out?

CineScope says so, and the AI work waits for the next month while everything else carries on. The AI Assistant and the document readers pause, the guest form stops offering a photo rather than accept one it cannot check, and reports that need a closer look wait in Needs review for a person.

Can we switch the AI off?

Yes. The account admin can switch the AI assistant off for everybody, which stops the chat, the translation of guest reports, document reading, photo checks, the AI Scheduling and Staffing Agents and Two-step triage. AI triage has a setting of its own, and Off there means every guest report waits for a person.
